Topic: GENERAL

  • Q: When is the library open?

    A: Library is open from 8.00 a.m. to 10.00 p.m. on Sunday to Thursday.

  • Q: Is the library open on Friday and Saturday?

    A: The library is closed on Friday and Saturday.

  • Q: Is there any dress code etiquette in the library?

    A: Yes. Library users should follow the university dress code etiquette.

  • Q: Why must my bag be checked when I walk in and out of the library?

    A: Bag checking must be done by the staff in charge at library main entrance to ensure that users do not bring in items (e.g.: food, drink, cigarette and etc.) inside the library or bring out the library items illegally (e.g.: reference material, mouse, DVD player, LCD projector, microphone and etc.).

  • Q: I have been registered as a student/staff member, but do not have a library account. What should I do?

    A: The library downloads student/staff’s records from Student/Staff Information System to Library System from time to time. If the record is unavailable, users have to fill up the Membership Registration Form at the Circulation Counter. 

  • Q: Why do I not receive Reminder and Overdue Notice?

    Q: Your email may over quota or has any technical problem.

  • Q: What are the library materials covered under this service?

    A: Delivery service covers requested materials like Open Access books, Audio Visual collection, and books as well as documents supplied under Inter Library Loan service.  

Topic: USER ACCOUNT

  • Q: How to get a user account?

    A: You are eligible to have a user account if you are a registered UTHM student or staff.

  • Q: What is the function of a user account?

    A: By having a user account, you can check details of borrowing, fines, reservation and user current status, either OK, Delinquent or Barred. You could also change your password and renew your loan.

  • Q: How can I check my account?

    A: You can check your account through the library website. Please enter your User ID (student / staff number) and password that have been registered.

  • Q: What to do if I forgot my password?

    A: You can reset your password either at the Circulation Counter or Reference Desk, Level 1. Our staff on-duty will be available to assist you.

Topic: OFF CAMPUS ACCESS

  • Q: How to access subscribed databases outside the campus?

    A: You can access any databases through the library website. Please refer toOff-Campus Accessfor further details.

  • Q: What is Off-Campus Access?

    A: The library provides Off-Campus Access to allow users with internet access using online resources outside the campus.

  • Q: Can I give my User ID and password to another user so that he can access our databases?

    A: No, you cannot disclose your user ID and password to another person because they may be able to access your UTHM e-mail. We are not responsible for any misuse of User ID and password. 

  • Q: How to get a password for some databases which are accessed outside the campus?

    A: You can get the password by sending an email to: This email address is being protected from spambots. You need JavaScript enabled to view it., and type in “password” at Subject field. The password request through personal email other than UTHM formal e-mail such as Yahoo Mail, Gmail, or Hotmail will not be entertained. Please refer to Off-Campus Access for further details.

Topic: ELECTRONIC / ONLINE RESOURCES

  • Q: What are online resources?

    A: Online resources cover  databases,  e-book  and  e-journal  subscribed by the library that can be accessed online.   

  • Q: How to get password for some databases?

    A: You can get the password by sending an email to: This email address is being protected from spambots. You need JavaScript enabled to view it., and type in “password” at Subject field. Please refer to the librarian for further details.

  • Q: Where to find British Standards?

    A: British Standards can be accessed through the library website, and direct link to online databases.

  • Q: Why sometimes I could not access to online database?

    A: There are many possibilities: network system technical problems, database maintenance by the publisher or exceeded the limit of concurrent users. Please make a report to any librarian for further action.

  • Q: What to do if I fail to access any journal in any database?

    A: Since not all journals are subscribed by the library, users may not be able to get access or download the articles needed. Users are advised to consult the librarian to get the full text through InterLibrary Loan service.

Topic: LIBRARY CATALOG

  • Q: What is Library Catalog?

    A: Library Catalog provides all details of the library collection, including current status, location and number of copies available to ease users identifying them on the specific shelves.

  • Q: How to use Library Catalog?

    A: Please download  the user guide at this page. 

  • Q: What can we understand from Everything, Library Search and Asset Search in the Library Catalog?

    A: Search results in Library Catalog are different based on the options selected:

    1.   Everything: will search all types of materials available in the library collection.
    2.  Library Search: will search all types of materials available in the library collection, excludesAsset Search.  
    3.   Asset Search:  will only search scanned Special Collection materials such as past exam papers.

    (Special Collection refers to all materials written by the UTHM community or published by UTHM).  

  • Q: How to get call number from the Library Catalog?

    A: In the Library catalog, the call number is known as Shelf Number. Please write down that particular number before searching on the shelf.

    1.   Everything: will search all types of materials available in the library collection.
    2.  Library Search: will search all types of materials available in the library collection, excludesAsset Search.  
    3.   Asset Search:  will only search scanned Special Collection materials such as past exam papers.

    (Special Collection refers to all materials written by the UTHM community or published by UTHM).  

  • Q: Can the Library Catalog give some information whether the material is available on shelf or on loan?

    A: Yes. Details of any material on shelf are available at a particular column, for example Open Access. For any material that is on loan, the column will inform the Due Date.

Topic: MEMBERSHIP

  • Q: How to become a library member?

    A: UTHM staff and students are eligible to become library members. They are provided with a library account. Please check your account through the library website or the Circulation Counter.

  • Q: What is “Delinquent” and “Barred” in membership?

    A: Membership with status “Delinquent” means that the user does not settle down his fines for late return, whereas membership with status “Barred" means that the fines have exceeded the maximum limit allowed.

  • Q: As a library member, could I use the other academic libraries?

    A: Yes, you could. Library users can visit the other libraries for reference purposes and have to bring along the student / staff card. 

  • Q: I have been registered as student/staff but do not have library account. What should I do?

  • Q: Where can I find past year examination papers?

    A: Printed past year examination papers can be found at Closed Reference Room, Level 1, whereas digital format is accessible through Library Catalog, by “Asset Search”.

  • Q: How to find past year examination papers related to my subject/course?

    A: You can find past year examination papers through Library Catalog by using Subject Name or Code, and then sort by “Asset Search”.

  • Q: Where can I find UTHM student’s thesis?  

    A: UTHM student’s thesis is available at Closed Reference Room, Level 1 for internal reference. Meanwhile, post graduate theses are accessible throughUTHM Repository, up to the first 24 pages.

  • Q: How to get access to UTHM publication and Special Collection?  

    A: Special Collection refers to materials written by UTHM students or staff, including UTHM publication. These materials are available at Closed Reference Room, Level 1 for internal reference.

  • Q: Is there PhDs thesis?  

    A: Yes. It is available at Closed Reference Room, Level 1 for internal reference as well as online database named as Pro-Quest Dissertations & Theses.

  • Q: Where can I find audio visual material?

    A: Audio visual materials, like CD-ROM, VCD, DVD, cassette, and video tape are available at Circulation Counter, Level 1. User may preview such materials using equipments provided at Closed Reference Room, Level 1.

  • Q: Can I make a copy of audio visual material?  

    A: No, you cannot. The library only lends you.

  • Q: Where can I find journals?

    A: Printed journals, either current or bound are available at Journal Room, Level 3, whereas online journals are accessible via library website through links to e-journal and online databases.

  • Q: Where can I find daily newspapers?

    A: You can get daily local newspapers at Closed Reference Room, Level 1. 

  • Q: How to get password for some databases?

  • Q: Why sometimes I could not access to the online database?

  • Q: How to learn more on library use?

    A: Library organizes Information Literacy Class for all new students in order to teach all users using the library.

  • Q: What is the objective of Information Literacy Class?

    A: Information Literacy Class is held to teach the new users on how to make full use of library facilities, services and collections. 

  • Q: When Information Literacy Class is held?

    A: Information Literacy Class is held as follows:

    1. Every working days  from 10.00 a.m to 5.00 p.m, as in the timetable scheduled every new semester.
    2. Every working days, subject to the request from the applicants.

  • Q: How to attend Information Literacy Class?

    A: Information Literacy Class can be attended through the followings:

    1. Request by email/phone/letter to librarian in charge of Information Literacy Class.
    2. Fill up the Registration Form available at Circulation Counter (every new semester).
    3. Walk-In. Please get the timetable before joining the class to check the availability

  • Q: Can I request to join Information Literacy Class?

    A: Yes, you can. Please consult the librarian in charge of Information Literacy Class.

  • Q: What are the topics covered?

    A: The following topics covered in Information Literacy Class:
    1. Book searching on shelves
    2. The use of online databases, e-journals and e-books
    3. Library facilities and services
    4. Applications within user account 
    5. The use of online resources outside the campus

  • Q: Can I seek advice on searching library materials on shelves?

    A: Users can consult librarian on duty at the Reference Desk, Level 1.

Topic: FACILITIES

  • Q: May I use OPAC Terminal for another purpose/use?

    A: OPAC Terminal is restricted to only searching library materials through Library Catalog and browsing User Account.

  • Q: How to access to Wi-Fi facility in the library?

    A: Wi-Fi facility is provided at no charge. Please refer to the wireless user guide.

  • Q: Do Library have a printing service?

    A: Printing service is available at the main counter, Level 1. 

  • Q: Can I use Iqra Room for study?

    A: Yes, users may use Iqra Room for study. Users also do not have to book Iqra’ Room before use. Users can use it at any time except the locked room.

  • Q: How long could I use Hikmah Room? 

    A: Maximum utilization is 2 hours. Extension of time depends on the availability. 

  • Q: How many users are allowed to use Eksplorasi Room at one time? 

    A: The use of Eksplorasi Room is restricted to 5 – 10 users at one time. 

  • Q: May I use Lestari Room on weekend?

    A: No, you cannot. The library is closed on weekends. 

  • Q: What are the facilities provided in al-Shirazi Scholar Room?

    A: Among the facilities provided are carrel desks, computers, sofa and television.

  • Q: Who are eligible to use Al-Shirazi Scholar Room?

    A: Only post graduate students and academicians are eligible to access Al-Shirazi Scholar Room . 

  • Q: What are the facilities provided in 24 Hours Reading Room?

    A: Facilities provided include electric sockets and wireless Internet access.

  • Q: May I bring food and drink into 24 Hours Reading Room?

    A: Only snacks and mineral water is allowed. 

  • Q: What are the materials provided in Closed Reference Room?

    A: The materials provided are Reference Collection (eg. handbooks, encyclopedias), Closed Access Collection (solution manuals & laboratory manuals), Special Collection (eg. thesis), as well as daily local newspapers.

  • Q: May I bring this collection out of this Closed Reference room?

    A: No, you cannot. This collection is only for internal reading and not to be brought out.

  • Q: Where is Closed Reference Room located?

    A: Closed Reference Room is located at Level 1.

  • Q: May I use my own Audio Visual material in Al-Jazari Auditorium?

    A: Users must get permission from Librarian Information Service Department to use their own material. The material related to teaching and learning is prioritized.

  • Q: Who are eligible to use auditorium?

    A: Use of auditorium open to academic staff and staff/student clubs or societies. Supporting documents from faculty or Student Affairs Department is required. 

  • Q: How long could I use auditorium? 

    A: Maximum utilization is 3 hours. Extension of time depends on the availability.

  • Q: How many user could be allocated in auditorium? 

    A: Maximum capacity for the Auditorium is 150 seats

  • Q: May I organize an exhibition at the library gallery? 

    A: Yes, please forward a written application to the Chief Librarian.

Topic: SERVICES

  • Q: Could I borrow or return library materials if there is electricity or network failure?   

    A: Borrowing is not allowed during electricity or network failure because the library could not identify both borrower and material status. On the other hand, returning is allowed and user has to fill up returning form provided.   

  • Q: When will Reminder and Overdue Notification sent by the library?

    A: Reminder Notification will be sent by the library by e-mail 7 days before the due date. The 1st Overdue Notice will be sent 1 day after the due date, the 2nd Overdue Notice will be sent 7 days after the due date, and 3rd Overdue Notice will be sent 13 days after the due date. User account will be barred if the total amount of fines has exceeded the maximum limit allowed.

  • Q: What should I do when the loan material is lost?

    A: Please inform to the Librarian, Circulation Management Unit immediately to avoid more fines for late return.  One month period will be provided to find the material. If the material still does not found, user has to pay according to the price of the material or buy the same title/edition.

  • Q: Could loan renewal be made outside the campus?  

    A: Loan renewal can be online through a user account with the condition that loan materials have not exceeded the due date.

  • Q: How many times loan renewal can be made?

    A: Loan materials can only be renewed 2 times. However, renewal is not allowed if another user already reserves the material.

  • Q: How to do loan renewal?

    A: Loan renewal can be done by 2 methods:

    1. Online renewal by user account using User ID and Password.
    2. Second, bring along the on loan items and do the renewal at the Circulation Counter.  Users can only renew twice before the due date. No renewal is allowed if other users have made reservation for the same item

  • Q: How to do reservation of library materials?

    A: Library materials to be reserved must be on loan by other users. Online reservation can be done by marking Request Item at Hold column. User ID and password is required to Place Hold. Hold Placed will appear to indicate the reservation is already done. On the other hand, reservation can also be done at the Circulation Counter, Level 1.

  • Q: How to cancel the reservation of library materials?

    A: User can cancel the reservation via User Account. Click on My Account, and then select Hold to view reservation list. Determine title to be cancelled and click on Cancel selected hold.  Click OK to confirm cancellation when message box appears with “You are changing all holds”. One more message will appear as “The following holds were cancelled” indicate the cancellation is done. Cancellation can also be made at the Circulation Counter, Level 1.

  • Q: How to know that the reserved materials are ready for collection?

    A: Current status on reservation can be checked through User Account. Click on My Account, and then select Hold to view reservation list. Any title with statement “Pick up at UTHM library” appears at Availability column shows that the item is ready for collection at the Circulation Counter. However, when the status is “Your position in the holds queue 1(or 2 and so on), users have to wait until it changed to “Pick up at UTHM library”.  

  • Q: How long is the period of reservation to be cancelled?

    A: The reserved materials will be cancelled after 7 days beginning from the day of returning.  

  • Q: How long is the period of reserved urgent materials to be re-shelf at Open Shelf?

    A: The unclaimed reserved urgent materials will be reshelf within 7 days after being processed.  

  • Q: Who are eligible to request the delivery service?

    A: This service is restricted to academic staff within campus area only.  

  • Q: How to request to this service?

    A: User may request during office hour at: 07-453 3318.  

  • Q: What is the Reference Desk operating hours?

    A: Reference Desk is operating as follows: Sunday - Thursday: 9.00 am - 10.00 pm and closed on Friday, Saturday and Public Holiday. Please refer to the library opening hours.

  • Q: Can I ask any inquiry at the Reference Desk?

    A: Yes, you can.

  • Q: Where is the Reference Desk?

    A: Reference Desk is located near to the Circulation Counter, Level 1.

  • Q: What questions can be asked at the Reference Desk?

    A: All questions related to library collection, services and facilities can be asked.  

  • Q: What is Inter Library Loan service?

    A: Inter Library Loan service helps user to get library materials that are unavailable in UTHM Library from the other academic libraries in Malaysia or British Library. 

  • Q: How many titles are allowed through Inter Library Loan service?

    A: Five (5) titles are allowed at a time.

  • Q: How to get the Inter Library Loan service?

    A: Inter Library Loan service can be obtained through the following channels:

    1. Fill up the Application Form that is available at the Circulation Counter or Reference Desk.

  • Q: Who is eligible to use Inter Library Loan service?

    A: All registered and active students and staff are eligible to use the service, except to the staff that are furthering their studies at any learning institutions other than UTHM. 

  • Q: May I request to renew my borrowing items?

    A: Renewal is subject to the permission from the supplying libraries. 

  • Q: Can I borrow the materials during my visit to the supplying libraries?

    A: No, you cannot. You are required to consult the librarian in charge to enable the library to prepare the relevant documents and get the approval from the supplying libraries.  

  • Q: Is there are any charges imposed on the user for the Inter Library loan service?

    A: No, there are no charges. However, there are fines for late return and charges for the damage of the materials, subject to the supplying libraries policy.

  • Q: What are the types of materials allowed through the Inter Library Loan?

    A: Types of materials allowed through the Inter Library Loan are book, articles from journal or magazine, proceeding paper and standard.

  • Q: How can I know the progress of the request? 

    A: Applicant will be informed by email or phone from time to time.

  • Q: Where can I get Inter Library Loan Application Form? 

    A: Inter library loan application form is available at the Circulation Counter and  Reference Desk (Level 1). 

Topic: CIRCULATION

  • Q: How many books can be borrowed at one time?

    A: Total number of borrowing depends on material as well as user category. Please refer to the borrowing eligibility table. 

  • Q: Is borrowing using the other’s card permissible?

    A: No, you cannot. Library users are not allowed to borrow library materials using another user’s card.    

  • Q: Can I borrow the library materials without a student/staff card?

    A: No, you cannot.    

  • Q: Why do I receive an Overdue Notice even though have returned the book?    

    A: There is a possibility that the book has been returned on the same date of Overdue Notice is issued. Please ignore the notice if the book has been returned.   

  • Q: How much is the fine for late return?

    A: Please refer to fine for late return.

  • Q: Could loan renewal be made by phone through the library counter?    

    A: No, it could not. Users have to do the renewal online or at the library counter.
